Assistant Director of Advancement for Operations-Full Time
Reporting to the Director of Institutional Advancement, this position will support a strategic advancement program, systematizing and facilitating operations, including gift acknowledgement, recognition, tracking, volunteer progress and financial reports toward Beauvoir’s philanthropic priorities.
Duties and Responsibilities of This Position:
- In support of the Associate Director of Advancement, ensure the timely processing of all gifts received in Raiser’s Edge. Prepare monthly fundraising and statistical reports. Work closely with the Business Office on gift posting and reconciliation.
- Facilitate timely stewardship and acknowledgement processes. Deliver timely follow-up and provide appropriate forms and material for gift recognition. Prepare general donor correspondence.
- Facilitate volunteer progress and gift tracking. Maintain tracking systems for moves management.
- Coordinate Raiser’s Edge database integrity projects with Beauvoir’s Information Systems Manager.
- Conduct prospect research and facilitate regular prospect review meetings. Prepare background information for gift requests and solicitations.
- Assist in the preparation of the Annual Report, annual statistical reports, and major donor lists.
- In support of the Assistant Director of Advancement for Constituent Relations, maintain the school’s Outlook calendar of events. Support of the Advancement team at events when required.
- Perform other duties including a weekly lunch with a “buddy” class, assisting with arrival or dismissal, and participating in the school community.
Minimum Qualifications (education, certification, years’ experience):
- Bachelor’s Degree: experience in development/fundraising preferred.
- Knowledge of Customer Relationship Management systems; preferably Raiser’s Edge, as well as Blackbaud K-12 software and event management systems.
- Experience in an independent school preferred.
Knowledge, Skills, Abilities (ex: best practices, teambuilding, detail oriented, physical demands, work environment):
- Ability to work independently; a self-starter with a high level of integrity and the ability to maintain strict confidentiality and discretion; must be professional in all aspects.
- Ability to collaborate with a three-person Advancement Team.
- Excellent interpersonal skills and ability to communicate and interact appropriately with all constituencies including parents, donors, volunteers, and colleagues. Professionalism, maturity, good judgment, humor, and flexibility.
- Ability to work effectively with internal teams throughout the school and interest in creating strategies that encourage cross-departmental collaboration.
- Knowledge and proficiency in fundraising strategies and techniques, particularly around constituent relations and engagement strategies.
- Excellent writing skills/ability.
General Requirements:
- Passing periodic background checks, FBI background checks and, at the discretion of the school, drug, and alcohol screening.
- Excellent interpersonal and communication skills.
- Strong writing and editing skills; ability to write and format professional correspondence, memos, and support documentation.
- Mature judgment and discretion; ability to maintain confidentiality and composure under pressure.
- Consistent and prompt attendance.
- Compliance with the provisions of the Beauvoir Faculty & Staff Handbook.
Working Conditions (Schedule, Physical Demands, AND WORK Environment):
- This position requires work outside normal business hours as needed, including evenings and weekends.
- The position requires prolonged sitting, standing, walking, climbing stairs, reaching, twisting, turning, kneeling, bending, and stooping in the performance of daily activities.
- The position also requires grasping, repetitive hand movement and fine coordination in preparing reports using a computer keyboard.
- The position requires near and far vision for reading and preparing written reports and other documents.
- Acute hearing is also required when providing phone assistance.
- The need to lift, drag, push, and pull files, reports and other materials weighing up to 25 pounds is required.
